Administration Assistant
We are looking for an Administration Assistant to join us on our journey toward zero-emission shipping!
What you will do:
- Provide administrative support to management and team members.
- Handle incoming calls, emails, and correspondence in a professional manner.
- Maintain and organize office info screen.
- Schedule meetings, appointments and travel arrangements.
- Order and manage office supplies and ensure proper inventory levels.
- Coordinate internal and external meetings
- Liaise with vendors, service providers, and building management to ensure smooth office operations.
- Support HR and finance processes, such as expense reporting, onboarding and offboarding.
- Provide basic IT support, including setting up workstations, assisting with hardware and software issues and coordinating with IT department.
- Support Marketing on bookings, orderings and other administrative tasks.
- Assist with company events, team activities, and other administrative projects as assigned.
Our requirements:
- Eligible to work and live in Finland (Vaasa).
- Strong organizational and time management skills with high attention to detail and sense of urgency in dealing with tasks.
- Excellence in team working and communication in multicultural environments.
- Fluency in Finnish, Swedish and English language, written and spoken.
- Communication Skills – clear verbal and written communication with staff, clients, and management.
- 1–3 years of experience in administrative support or office coordination, preferably in an international setting.
- Proactive and service-minded attitude with a problem-solving approach.
- Relevant educational background in administration, or related field; equivalent practical experience is also valued.
- Basic understanding of HR and finance procedures (e.g. expense claims, onboarding).
